Project Management Officer

De functie

Your main activities consist of:

  • Provide support for project delivery processes and tooling (e.g. SAP, Sharepoint, Service Now, etc.). This implies:
    • measuring and monitoring progress throughout the project delivery processes
    • preparing ad hoc reports (e.g. status reports) for management
    • share process documentation and work documents with all process actors
    • Propose process and tooling improvement proposals and advise project sponsor, program and project managers on project management disciplines and approaches
    • coaching and adjusting the process actors in the day-to-day use of the processes, documentation and tooling
  • Act as SSoT (single source of truth) about all ideas, demands and projects as a reference point for questions and information about project delivery processes. Collecting proposals for improving tooling and passing them on to the tool managers
  • Ensure the preparation of the financial cost structure with a view to the correct registration of project costs. This includes, among other things. in: supervising the necessary validations, the financial closure of the projects and the collection and approval of the information regarding the use of the financial resources
  • Plan and organize content of various committees (e.g. approval gates, project meetings, etc.) and then implement the decisions and actions taken
  • Keep yourself abreast of project management, methodology and standards evolutions within the IT sector to keep your knowledge up-to-date

  • You can inform all stakeholders in a transparent, clear and efficient way about what is expected of them in the project delivery processes and tooling
  • You naturally bring clarity and structure to the processes so that they are documented correctly and the process actors know exactly what is expected of them
  • After an initial training period, you are happy to work independently in monitoring the progress of projects, in drawing up process documentation, in organizing committees and in training and supervising process actors.
  • However, you also know how to escalate to your manager at the right times (e.g. process actors want to work outside the processes, demands are passed on too late or with improvement proposals for processes and tooling).
  • You proactively keep your knowledge up to date and you propagate best practices in project management so that you become a point of reference for questions and information related to PMO over time
  • You have a bachelor's degree or equivalent through experience
  • You ideally have at least 3 years of experience as a Project Management Officer. Experience in an IT environment is a great added value
  • You have a thorough knowledge of project management methodologies, tooling and project processes (project selection, project application and project execution)
  • Experience with budget monitoring/analysis is a nice plus
  • You already have experience with management reporting and governance meetings
  • You can express yourself fluently, both in writing and orally, in Dutch, French and English
